This Privacy Policy describes how Tekoa Systems LLC ("Tekoa," "we," "us," or "our") collects, uses, and protects information when you use Tekoa CRM.
1. Information we collect
- Account information such as name, email address, role, and authentication data
- Organization and company profile information
- CRM data you enter, including customers, jobs, proposals, photos, documents, and notes
- Receipt and expense records, including uploaded files and OCR-derived fields
- Financial integration data when you connect services such as Intuit QuickBooks
- Usage, device, and log data needed for security, support, and service operation
2. How we use information
- Provide, maintain, and improve Tekoa CRM
- Operate receipt inbox, OCR, and bookkeeping workflows
- Sync data with connected integrations such as QuickBooks when authorized by your organization
- Authenticate users, enforce access controls, and protect against abuse
- Provide customer support and service-related communications
3. Third-party processors
We use trusted infrastructure and service providers to operate Tekoa CRM, which may include Supabase (database and storage), Vercel (hosting), Resend (email delivery), Intuit QuickBooks (when connected by your organization), and AI/OCR providers configured for receipt processing. These providers process data on our behalf under appropriate agreements and security controls.
4. Data sharing and sales
We do not sell personal information or customer CRM data to advertisers. We share information only as needed to operate the service, comply with law, protect rights and safety, or with your organization's direction when using integrations you enable.
5. Organization separation
Tekoa CRM is a multi-tenant platform. Each company's data is logically separated by organization. Users should only access data within organizations they are authorized to join.
6. Your responsibilities
Organizations and users are responsible for customer and employee data they upload, including obtaining any required notices or consents. Do not upload sensitive information unless necessary for your business use of the service.
7. Security and retention
We use reasonable administrative, technical, and organizational measures designed to protect information. We retain data while your organization uses the service and as needed for legal, security, and backup purposes.
8. Changes and contact
We may update this Privacy Policy from time to time. We will revise the "Last updated" date when we do.
